Web Appointment From Company Website

Customer Interface (Create Appointment)

The Web Appointment Function allows customers to schedule an appointment from the Automotive Shop's company website. The following is a portion of a screen from the company website. The customer can access this and set up a tentative appointment.

New Customer

To start a Tentative appointment, the customer will fill in the following basic information:

1.1.A. Enter a Last Name or Company Name.

  • Note:
    • Last Name is the company name for individuals.

1.1.B. Enter a Home Phone Number.
1.1.C. Select New Customer from pull down menu. Existing Customer is the default.
1.1.D. Select Continue and the next screen appears:

1.1.1.E. Company Name (or Customer Last Name) is already populated. Verify
1.1.1.F. Enter a First Name.
1.1.1.G. Customer Last Name is already populated.
1.1.1.H. Enter Street Address. Use second address line if necessary APT etc.
1.1.1.I. Enter City, State (Two Letters) and Zip Code.
1.1.1.J. Select Preferred Contact Method from Pull Down Menu.

  • Verify Home Phone Number and add any additional Numbers and an E-mail address as needed.

1.1.1.K. Select Repair Location from Pull Down Menu.
1.1.1.L. New/Other Vehicle is the default for the Pull Down Menu. Add Year, Make and Model for the Vehicle.
1.1.1.M. Enter a description of the problem. Provide as much information as possible.
1.1.1.N. Enter any additional General maintenance wanted.
1.1.1.O. Select a option to bring the vehicle in from the Pull Down Menu.
1.1.1.P. Select the Drop Off Time from the Pull Down Menus.
1.1.1.Q. Enter any additional information in the "Any additional questions or comments" field.
1.1.1.R. Select Submit Appointment Request.
1.1.1.S. Select Cancel BEFORE selecting Submit Appointment Request to cancel the request..

Existing Customer

  • 1.1.2.A. Enter a Last Name or Company Name.
    • Note: The last name must be exactly as listed in Repair Shop's database.
  • 1.1.2.B. Enter a Home Phone Number.
  • 1.1.2.C. Select Existing from pull down menu. Existing Customer is the default.
  • 1.1.2.D. Select Continue and the next screen appears:

Any Scheduled Appointment(s) for the customer will be listed. To request a New Scheduled Appointment:

  • 1.1.2.E. Select Create another appointment.

  • 1.1.2.F. Verify the following information:
    • Company Name (or Customer Last Name)
    • First Name
    • Customer Last Name
    • Street Address
    • City, State and Zip Code
  • 1.1.2.G. Select Preferred Contact Method from Pull Down Menu.
    • Verify Home Phone Number and add any additional Numbers and an E-mail address as needed.
  • 1.1.2.H. Select Repair Location from Pull Down Menu.
  • 1.1.2.I. If the Vehicle listed is not correct for the new Appointment, Select the corect vehicle or if New Vehicle, select New/Other Vehicle from Pull Down Menu. Add Year, Make and Model for the Vehicle.
  • 1.1.2.J. Enter a description of the problem. Provide as much information as possible.
  • 1.1.2.K. Enter any additional General maintenance wanted.
  • 1.1.2.L. Select a option to bring the vehicle in from the Pull Down Menu.
  • 1.1.2.M. Select the Drop Off Time from the Pull Down Menus.
  • 1.1.2.N. Enter any additional information in the "Any additional questions or comments" field.
  • 1.1.2.O. Select Submit Appointment Request.
  • 1.1.2.P. Select Cancel BEFORE selecting Submit Appointment Request to cancel the request..


Shop Interface (View Tentative Appointments and Confirm)

After an appointment is requested by the customer a QMail is created. If new Qmails are available QMail is red. To view QMails:

  • 1.2.1.A. Select QMail to view Tentative Appointments. If QMail is not red push F5 or Refresh to refresh screen. If QMail turns red there are new QMails.

  • 1.2.1.B. Select the Appointment QMail from list to read. 'New Tentative Appointment will be the subject line of the QMail.

Example Tentative Appointment QMail.

  • 1.2.1.C Select Goto Appointment to open the Edit Appointment Window and Appointment Calendar.
    • NOTE: The Appointment Calendar will open to the current week no matter when the Appointment is scheduled.

To confirm the appointment:

  • 1.2.1.D. Select Confirmed from the Status Pull Down menu in the Edit Appointment window.
    • Once Confirmed is in the Status field go to 1.2.1.F or 1.2.1.G.
  • 1.2.1.E. Appointment Calendar with Appointments Status by Color:
    • Green: Confirmed Appointment with RO.
    • Light Blue: Confirmed Appointment.
    • Yellow: Tentative Appointment.
  • 1.2.1.F. Select Create RO in the Edit Appointment window to create an Estimate or RO from the Appointment.
  • 1.2.1.G. Select Save Record in the Edit Appointment window to save the Appointment after editing.

Customer Interface (Confirmed Appointments)

To Check Status or Edit an appointment, the customer will fill in the following basic information:

  • 1.3.A. Enter a Last Name or Company Name.
    • Note: The last name must be exactly as listed in Repair Shop's database.
  • 1.3.B. Enter a Home Phone Number.
  • 1.3.C. Select Existing from pull down menu. Existing Customer is the default.
  • 1.3.D. Select Continue and the next screen appears:

Any Scheduled Appointment(s) for the customer will be listed. You can Edit or View Status on a Scheduled Appointment by:

  • 1.3.E. Select Edit next to the appointment to be edited.
    • See Image below and follow 1.3.J through 1.3.L.
  • 1.3.F. Select to add another Appointment.
  • 1.3.G. Status on Customer vehicle.
  • 1.3.H. Contact Options for Customer.
  • 1.3.I. Select to log off system.
