Overview

PIF Pro provides functionality to track Lead and Referral sources at both Customer/Account and RO levels. (How To Use both Lead/Referral Sources) Think of it this way, the Customer comes to your business for some reason the first time, either because of some type of advertising that drew there attention to you, an immediate need that prompted them to find your business in a directory, or because someone referred them to your business.

For this feature to be functional, some setup is required. To Access Lead & Referral configuration:

  1. Click Admin on the Menu Bar
  2. Click the Lead & Referral Tracking button in Admin Interface

To Add/Edit Leadsources

Then Add, Edit or Delete Lead Source Categories as desired.

Warning - deleting Lead Sources that have been used on Accounts or ROs will leave those records without a Lead Source specified. Thus it is best to only delete at the time of initial setup

To Add/Edit Referral Partners

Click an existing record or the Add Referral Partner link.

To Create or Edit a Referral Source

Make additions and edits as desired.

Warning - deleting Referral Partners that have been used on Accounts or ROs will leave those records without a Referral Partner specified. Thus it is best to only delete at the time of initial setup

Referral and Sales Commission Tracking

  • Find and select or create the account that you will assign to the sales person.
  1. Enter data to search for
  2. Select the desired account from the list or if not found, create a new account

  • After the account is selected/created, assign the Account to the person in the drop down list who will receive commissions for sales to the account
  1. Click on CRM Activity to display the CRM Fields
  2. In the Assigned To: drop down list select the name of the person who will be receiving commissions.
  3. Click Save to save the CRM Fields

  • Finish Editing and Save the Account
  1. On the Side Menu, select Acct/Veh Edit again. Complete any other Account or Vehicle editing:
  2. Set/Confirm Account Lead Source(Account Lead Source is the Lead or Referral Source that was the reason the Customer/Account first came to your shop.
  3. If you are editing the Account only and are NOT creating a New RO for the account, click Save.
  4. If you ARE creating a New RO for the Account, Click Save and New RO. NOTE - for ease of Assigning a Salesperson to an Account for Sales Commission Tracking, this is the PREFERRED METHOD for Starting an RO

The Account is now set up for reporting to calculate sales commissions

Referral Commission Tracking

  • If you chose Save and New RO after editing the Account, the Edit RO screen opens.

If you need to get to the Edit RO screen from an RO that is already open:

  1. With the RO Open Click RO on the Side Menu
  2. Click the Edit RO link

  • With the Edit RO view active:
  1. Set/Confirm that the RO Lead Source is set to Referral and the Referral Source is set to the correct Referral partner name.
  2. Click Go to RO to save any changes and return to the RO view

The RO is now set up for reporting to calculate referral commissions
