How to Clock Tech Time when Tech is working on Multiple Jobs at the same time.

Problem and Solution

There are times when a Tech may be working on multiple jobs at the same time.

  • Example: Painter is preping and painting parts from 3 different ROs at the same time because they are the same color.


The following will provide a solution to track Tech time correctly:


To accurately track the Tech time to all ROs, the tech is provided with a Misc Activity to clock his time while working on the multiple jobs. Once the Tech has completed the work, the Tech will note the time for each RO / Job when clocking off the Misc Activity. If the time is spread evenly the tech will simply list RO#s and Jobs worked on and the time will be split by the number of Jobs worked on. The Time Clock Admin will then create time tickets for the Tech in each RO Job. Since the Misc Activity has a Value of zero, no cost will be tied to the time clock by the tech. The cost and pay for the Tech is tracked by the new time tickets added to each RO by the Time Clock Admin.


Set Up:

Create a Misc Activity called Multi Job.

  • Admin>Program Setup>Time Clock>Misc Activities
  • Enter the Activity name in the Add:Field Name field.
  • Enter zero (0) in the Value field. The result when tech clocks onto the new activity: Raw Time on the time ticket will show the amount of actual time spent on the task and Total Time will be 0.
  • Select Save List.
  • Repeat as needed.
    • Note: Any name can be used for the Misc Activity but limit the length of the name to 20 or less characters. i.e. "Multi Job".
    • For tracking purposes it may be beneficial to create more than one Misc Activity.

How the Process Works:

Tech:

  1. Tech Clocks on and selects correct Misc Activity.
  2. Tech has RO#s and Job information.
  3. Tech keeps track of time for each job with notes or mentally.
  4. When Tech Clocks to next task from the Misc Activity time ticket notes are made of RO#s Job information and time to allocate to each.

Time Clock Admin:

  1. Reviews Tech's Misc Activity Time ticket(s).
  2. Adds a Time ticket to the job on the RO with the correct time from the Misc Activity time ticket. (Use the Add Time Ticket link on the Labor page of the Job)
  3. Repeats 2 until all "Raw Time" logged on the Misc Activity has been allocated to the the individual RO jobs.

NOTE: If the time is spread equally between jobs divide Raw Time for the Misc Activity time ticket by number of jobs to identify the time for each job.
